NoteMe ("we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your Personal Data when you use the this application (the "Service" or "App").
To ensure clarity, the following terms used in this policy are defined as follows:
- Account: A unique account created for you to access our Service or parts of our Service.
- Personal Data: Any information that relates to an identified or identifiable individual.
- Usage Data: Data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (e.g., the duration of a page visit).

- User Content: Audio recordings, transcripts, summaries, and notes uploaded, recorded, or generated by you through the App.
2. Collecting and Using Your Personal Data
We collect several different types of information to provide and improve our Service to you.
2.1 Types of Data Collected
A. Personal Data
While using our Service, we may ask you to provide certain personally identifiable information that can be used to contact or identify you, including but not limited to:
- Email address (if signing in via Email);
- User ID or unique identifier (e.g., anonymous ID generated via Sign in with Apple);
- Device identifiers and Usage Data.
B. Core Functional Data: Audio & Text
This is the data required for the App's core functionality, and we are highly transparent about how it is processed:
Voice Recordings:
The App uses your device's microphone to record meetings. Important: The Speech-to-Text (ASR) process primarily utilizes system-level frameworks provided by Apple Inc. (Speech Framework). Depending on your iOS/macOS system settings, audio processing may occur On-Device or be transmitted to Apple's secure servers. We do not have direct access to the raw audio data on Apple's servers.
Transcripts & AI Content:
To provide "AI Summaries," "Note Generation," and "Smart Q&A" features, we transmit the text data (excluding audio files) generated from speech recognition to our AI Service Provider (OpenAI).
C. Usage Data
Usage Data is collected automatically when using the Service. This may include:
- Device type (e.g., iPhone 15), operating system version (e.g., iOS 17);
- In-app feature usage statistics (e.g., how often you generate summaries, crash logs).
3. Use of Your Personal Data
The Company uses your Personal Data for the following purposes:
- To provide and maintain our Service: Ensuring the proper function of recording and transcription features.
- To perform AI Analysis: Processing your text via OpenAI API to generate meeting minutes and answer your questions.
- To manage your Account: Managing your registration and permissions as a user of the Service.
- To perform a contract: Handling your subscription status and restoring purchases.
- To contact you: To send you news, special offers, and general information about other goods, services, and events (via email or push notifications) unless you have opted not to receive such information.
- To improve the Product: Analyzing aggregated, anonymous usage trends to optimize our algorithms and user interface.
4. Processing and Sharing of Data
We do not sell your Personal Data. We only share your information with specific Service Providers to maintain service operations, as described below:
4.1 AI Processing (OpenAI)
- Partner: OpenAI, L.L.C.
- Data Type: Transcripts, user search prompts.
- Purpose: Generating summaries, extracting action items, and answering user questions.
- Privacy Commitment: We connect via OpenAI's Enterprise API. According to OpenAI's API Data Usage Policies, data transmitted via our API is NOT used by OpenAI to train or improve their base models (such as ChatGPT). Data is deleted after processing in accordance with retention policies and is not stored indefinitely on OpenAI servers.
4.2 Speech Recognition (Apple)
- Partner: Apple Inc.
- Data Type: Voice Audio.
- Purpose: Converting speech to text.
- Privacy Commitment: This processing is governed by Apple’s Privacy Policy and your device system settings.
4.3 Cloud Infrastructure
- Partner: Google Cloud Platform
- Purpose: We use these services to securely store your account information, encrypted notes, and synchronization data.
4.4 Payments
- Partner: Apple (In-App Purchase)
- Note: We do not collect or store your payment card details at any time. All payments are processed directly by Apple.
5. Retention of Your Personal Data
5.1 General Retention Policy
The Company will retain your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy.
- Account Info: We retain your credentials to provide continuous service.
- Legal Compliance: We will retain and use your data to the extent necessary to comply with legal obligations (e.g., tax laws) and resolve disputes.
5.2 Retention of User Content (Recordings & Notes)
Regarding the audio recordings, transcripts, summaries, and notes you upload or generate (collectively, "User Content"):
- Retention for Service: To provide you with continuous access and history retrieval, we retain your User Content for as long as your account remains active.
- User Control: You retain full control over your data. We keep your content until you: (a) manually delete specific entries within the App; or (b) choose to delete your account.
- Deletion Mechanism: Upon such action, the data is removed from our production environment and will no longer be visible to you.
5.3 Backups and Residual Copies
To prevent data loss, our infrastructure performs regular encrypted backups. After you delete data, copies may persist in our backup archives for a limited period (typically not exceeding 90 days) before being overwritten. During this period, backup data is isolated and not used for any business processing.
6. Transfer of Your Personal Data
Your information, including Personal Data, may be transferred to — and maintained on — computers located outside of your state, province, country, or other governmental jurisdiction (e.g., OpenAI servers are primarily located in the US). Data protection laws in these jurisdictions may differ from those in your jurisdiction. Your consent to this Privacy Policy constitutes your agreement to that transfer.
7. Your Data Rights
We respect your data rights regardless of your location. You can exercise the following rights within the App settings:
- Access and Correction: View or modify your personal information.
- Right to Delete (Right to be Forgotten): You have the right to request the deletion of your Personal Data.
- How to Exercise: You can directly tap "Delete Account" in the App Settings. Upon confirmation, your account information and all meeting content stored in the cloud will be permanently deleted and cannot be recovered.
8. Security of Your Personal Data
- We use SSL/TLS encryption for all data in transit.
- Your sensitive data (such as meeting notes) is stored using Encryption at Rest on our servers.
- While we strive to use commercially acceptable means to protect your Personal Data, please remember that no method of transmission over the Internet is 100% secure.
9. Children's Privacy
Our Service does not address anyone under the age of 13 (or the relevant digital age of consent in your jurisdiction). We do not knowingly collect personally identifiable information from children. If you are a parent and become aware that your child has provided us with Personal Data, please contact us for immediate deletion.
10. Changes to this Policy
We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page. Significant changes will be communicated via email or in-app notifications. You are advised to review this Privacy Policy periodically.
